Start with the job in the customer's own words
Ask what they need help with, then let them describe it before working through a checklist. Write a short job label and preserve important detail in their words. 'Fence repair' helps you scan the list; 'two panels leaning after the storm, gate still opens' helps you prepare for the callback.
Do not turn a brief phone description into a diagnosis or fixed quote. A customer asking whether a repair is possible has not agreed to replacement. Separate their request from your assessment, and leave the assessment until someone qualified has reviewed it.
The details to collect, and why they matter
Ask only for information that changes the next step. If you already have an answer in the voicemail or conversation, carry it forward instead of making the customer repeat it. Confirm an unclear detail rather than guessing.
- Customer name or a useful label: who should you ask for when you call back?
- Callback number and preferred channel: confirm the number if it differs from caller ID, and ask when a callback would suit them.
- Job type and short description: what happened, what are they asking you to do, and what remains uncertain?
- Area or address: start with enough location detail to check service coverage; request a full address when it is needed for the next step.
- Urgency as reported: record the customer's wording and any requested timing without promising an emergency response.
- Access or scope questions: note a locked gate, tenant coordination or measurements that may affect a visit. Do not collect access codes in a general enquiry note.
- Next action and time: decide who will call, clarify the scope or arrange a visit, and by when.
Copy this brief into your existing process
This is a blank working template, not a form that sends information to BookedBack. Copy it into your own approved notes or customer system, then remove fields that are not needed. Keep customer information accessible only to the people who need it for the job.
Template to review and adapt
Customer / label: Callback number and agreed channel: Job requested: Customer's own description: Area / address if needed: Urgency in customer's words: Preferred callback time (not a booking): Missing information: Last promise made: Next action / responsible person: Follow-up due:
Copying sends nothing. Replace the placeholders and use an agreed channel.
Handle incomplete and urgent enquiries honestly
An incomplete enquiry can still be worth returning. Save the details you have and name the question you need to ask next. Do not fill a blank address with the business's address, assume an unknown job is routine or treat a preferred time as confirmed availability.
For example, 'Jamie wants a fence repair, area unknown, callback after 4 pm requested' is enough to plan a first call. The next action can be 'ask where the property is and clarify the damaged section'. This example is fictional; it is not a customer outcome.
A label such as 'emergency reported' records what was said. It does not mean anyone has assessed the danger, dispatched help or promised to attend. BookedBack is not an emergency service; a queue or automated conversation should never be represented as emergency response.
Make the handoff useful to the next person
Before handing over, check that the contact detail, unresolved question and latest promise are together. A summary without the original context can hide a customer's condition or correction. Keep the source conversation or message available where your system supports it.
In BookedBack, a manual enquiry can hold job type, area, reported urgency and preferred timing. The Missing job type or area focus helps find incomplete briefs; the urgent focus shows the urgency recorded by your business. These views help you review the loaded enquiries. They do not decide which jobs are safe, suitable or profitable.
After the callback, update the next action or record the outcome. If the customer asks for an estimate, note the scope still to confirm. If they agree to a visit, confirm the appointment through your actual scheduling process. BookedBack does not currently book appointments or synchronize a live calendar.
