For landscapers and grounds crews

Keep landscaping quotes and callbacks in view.

Add an enquiry, choose the next action and see what is due when you return to the truck. You make the call, book the walk-through and record the outcome.

Manual tracking is available before phone setup. Automated texting and billing are not live yet. Text-back requires business review, carrier approval, a successful line test, payment details and agreement to usage terms. The workflow examples below are illustrations, not customer results.

Available now, without phone setup: the follow-up board.

Add the quotes and callbacks you already have, choose the next action and see what is due. You make the call and record the outcome; nothing is sent to customers. Manual entries do not incur conversation charges. Create my follow-up board or try the sample board. Practical help: the call intake checklist and estimate follow-up guide.

When landscaping calls get missed.

  1. Spring and fall rushes

Seasonal cleanup and maintenance enquiries can arrive while the crew is busy. Keep the request and the next action together so you can review them when you have time.
  2. Equipment running

Mowers, blowers and trimmers can make a ringing phone hard to hear. When you return to the truck, record what you know and what you need to ask on the callback.
  3. Between properties

Callbacks can accumulate while you travel between jobs. If someone does not answer, record the attempt and decide whether another follow-up is appropriate.
  4. Evenings

An enquiry may arrive after your workday. Save the details already provided and any agreed callback time so you can pick it up later.

Proposed text-back workflow · Not live

Maintenance and projects need different questions.

The example below shows the intended text-back workflow after consent and activation: job and area first, then timing if it helps. You can record these same details manually in the board today.

Maintenance
Weekly or biweekly mowing, hedges, seasonal cleanups. What you need: the area, roughly how big the property is, when they want to start. What you do: quote from the truck or book a five-minute look.
Project
Beds, sod, retaining walls, drainage, small hardscape. What you need: the area and a sentence about the job. What you do: book a walk-through; the assistant asks when they are free to talk, never when the crew is free.
Not a fit
Outside your area, a service you do not offer, a supplier or a sales call. You mark it once; it leaves the queue and nothing is sent.

Sample data. Fictional business and caller; the first message is the real production template. Cedar Ridge Landscaping does not exist; the caller and details are invented for illustration.

The handoff is to you, not to a booking engine.

Every enquiry ends in your queue with one next action. You book the walk-through, you quote, and afterwards you mark what happened — estimate confirmed, won, lost, completed. Unknown stays unknown, and nothing is called recovered revenue.

Your existing number
Stays as it is. Customers keep dialling it; only calls nobody answers are forwarded.
Texts come from
A Canadian toll-free number assigned to your business, once the carriers verify it. Not your cell, not your office line.
Callers who can't text
Forwarded callers hear a short greeting naming your business. Landline callers and people who cannot text get no text and are shown as calls to return. Voicemail capture is switched on per line once it has been proven on a real call.
Reversible
Your carrier or VoIP portal turns the forwarding off again at any time. Nothing is ported.

Landscaping workflow questions.

What does it cost in a quiet month?
No billable conversations means no usage charge. Your allowance includes 1 free conversation once per verified business, then $2 each including applicable tax. No monthly subscription or setup fee. New automated conversations pause at your adjustable monthly limit, which starts at $50. Applications are open; texting and billing are not live yet.
Does it quote or book the job?
No. It captures what the caller needs and where they are, and asks when they are free to talk. You book the walk-through, you quote, you mark the outcome. The assistant never invents prices or availability.
Can callers send photos of the yard?
Not in this release. The assistant does not ask for photos; when you take over, you can ask the caller to send them to you directly.
What about callers outside my service area?
The area is one of the first things asked, so you see it in the queue. You mark the enquiry as not a fit; nothing is rejected automatically.
Is this written from a real landscaping business?
The operator of BookedBack runs a grounds-maintenance business and built this for that phone. This page describes that workflow. It is not a customer result and no numbers are claimed.
